Service Descriptions

These Service Descriptions set out the scope of the Available Services provided by The Keyholding Company Limited (TKC). They are incorporated into and form part of the Business Client Terms and Conditions (T&Cs).
Capitalised terms used in these Service Descriptions have the meanings given to them in the T&Cs. Each Service Description describes the core service only. Service enhancements, bespoke workflows, or one-off requests are not guaranteed and, if agreed, will be set out in a Quote.
The Services are grouped below in accordance with the Schedules to the T&Cs.
Schedule 1A – People Powered Services
People Powered Services are delivered by SIA-licensed Officers attending Properties in person. They are subject to the general obligations and the specific terms set out in Schedule 1A of the T&Cs, including (without limitation) provisions relating to notice periods, cancellation, and restrictions on the engagement of Officers.
Keyholding & Key Services
Key Check: An Officer will attend the Property to test Keys held by TKC and verify that they grant access to the relevant areas as recorded in the Client Platform.
Key Collection: An Officer will collect Keys from the Client’s designated representative, verify their functionality, and document the collection by way of a digital key receipt.
Key Delivery: TKC will deliver Keys to the address and/or recipient specified by the Client and document the delivery by way of a digital key receipt.
Key Drop Off: An Officer will return Keys to the designated recipient at the specified address, verify the recipient’s identity, and document the return by way of a digital key receipt.
Key Postage: On cancellation of a Property from the Client Platform, TKC will, if requested, post Keys to the address specified by the Client. TKC accepts no liability for loss or damage to Keys in transit once dispatched in accordance with the Client’s instructions.
Alarm Response
Alarm Call: A reactive attendance service, typically initiated by an Alarm Receiving Centre (ARC) in response to a security or fire system activation. Where TKC holds Keys for the Property, the Officer will conduct an Internal Patrol, reset and rearm the system in accordance with the Assignment Instructions, and secure the Property before departing. Where no Keys are held, the Officer will conduct an External Patrol only. The Officer will liaise with the relevant alarm company or emergency services as necessary.
Fridge Alarm: In response to a fridge or temperature alarm activation, an Officer will attend the Property to investigate the cause of the alarm and, if so instructed, contact the Client’s designated maintenance provider and await engineers.
Noise Level Alarm: An Officer will attend the Property in response to a noise complaint or device alert and request that the relevant occupants reduce noise levels. This service is non-confrontational and does not include enforcement action.
Services Subscription: Subscription-based access to services, preparedness and support, with key custody dependent on the agreed service model.
Patrol Services
External Patrol: An Officer will attend the Property and conduct an external and/or perimeter patrol, checking accessible areas, doors, windows, and points of entry for signs of tampering or unauthorised access. This service does not require Keys; Officers will not enter any building or area requiring Keys.
Internal Patrol: An Officer will attend the Property and conduct an internal and external inspection, checking that doors, windows, and access points are secure in accordance with the Assignment Instructions. The Officer will secure the Property upon departure and, where so instructed, arm the security system.
Lock Service: An Officer will conduct an Internal Patrol, secure all points of access in accordance with the Assignment Instructions, and arm the alarm system if required, before securing the Property on departure.
Unlock Service: An Officer will attend the Property, unlock the designated areas, deactivate the alarm system, and conduct an Internal Patrol in accordance with the Assignment Instructions.
Access, Welfare & Enforcement
Officer Welfare Check: An Officer will attend the Property to check on the welfare of a lone worker or Officer who has not responded to scheduled check calls and will report findings to the Client. This service is typically requested where a lone worker has failed to make contact as required.
Third Party Access: An Officer will attend the Property to provide access to authorised individuals or contractors as specified by the Client. The Officer will verify the identity of the person(s) before granting access. If requested the Officer will remain on site to secure and alarm the Property on their departure, in accordance with the Assignment Instructions.
Third Party Escort: An Officer will attend the Property to provide access to authorised individuals or contractors as specified by the Client. The Officer will verify the identity of the person(s) before granting access. The Officer will then escort the authorised individuals or contractors around the Property providing access to areas of the building as instructed by the Client. The Officer will secure and alarm the Property on their departure, in accordance with the Assignment Instructions.
Unauthorised Person Response: Officers will attend the Property and request that trespassers vacate the premises in a safe and non-confrontational manner, in accordance with the required protocol and Assignment Instructions. This service does not confer any enforcement powers on TKC Personnel.
Property Visits & Assessment
Compliance Checks: An Officer will conduct a series of visual checks at the Property to assess compliance with the safety, security, or operational standards specified by the Client in the Assignment Instructions (for example, a clear-desk check to identify exposed confidential information). The service is limited to visual assessment only; TKC does not warrant compliance with any regulatory or statutory standard.
Fire Alarm Test: An Officer will attend the Property to test and inspect the fire alarm system in accordance with the Client’s instructions as set out in the Assignment Instructions.
House Check: An Officer will attend a residential Property at the date and time agreed with the Client, conduct a Patrol, run taps briefly, flush toilets, and carry out any additional tasks specified in the Assignment Instructions, before securing the Property on departure.
Survey: An Officer will attend the Property to conduct a survey and record information on layout, access, alarm systems, safety measures, and Assignment Instructions. Where Keys are collected, a digital key receipt will be issued.
Re-Survey: An Officer will attend the Property, typically alongside a Client representative, to update and verify existing survey information, including any changes to layout, Assignment Instructions, Keys, alarm systems, and safety protocols.
Emergency & Temporary Guarding
Emergency and Temporary (E&T) Guarding: An Officer or Officers will attend and remain at the Property for the duration requested (please note a minimum charge will be applicable), conducting Internal Patrols and carrying out such additional tasks as are set out in the Assignment Instructions. This service is subject to the additional obligations set out in Schedule 1A of the T&Cs, including restrictions on the engagement of Officers and the applicable notice periods.
Schedule 1B – Systems & Hardware
Systems & Hardware Services involve the installation, maintenance, and/or monitoring of security systems and equipment at the Property. They are subject to the general obligations and the specific terms set out in Schedule 1B of the T&Cs, including (without limitation) provisions relating to equipment ownership, Client Facilities, Call Out Charges, and manufacturer warranties.
Security System Installation: TKC will provide bespoke, end-to-end specification, installation, and commissioning of security hardware at the Property, including (without limitation) CCTV, access control, intruder alarm, and fire alarm systems, together with associated physical security measures. The scope and specification are set out in a Quote and System Design Proposal. TKC will seek the Client’s prior written consent before actioning any material changes to the agreed System Design Proposal identified during installation.
Security System Maintenance: TKC will provide scheduled preventative maintenance for Legacy Systems and/or Installed Systems, comprising: (a) routine inspections at the frequency set out in a Quote, conducted on-site and/or remotely, with the objective of maintaining optimal performance, compliance, and system reliability; and (b) reactive call-out services to address system faults between scheduled visits, subject to the applicable Call Out Charges. The scope of the maintenance subscription is set out in the relevant Quote.
Security System Monitoring: TKC will provide professional monitoring and surveillance of Legacy Systems and/or Installed Systems via an Alarm Receiving Centre (ARC). This includes receiving, verifying, and actioning alarm activations from CCTV, intruder, and fire systems. Where specified in a Quote, proactive services such as virtual patrols may also be provided. TKC reserves the right to integrate AI-assisted tools to support the identification and verification of alarm activations, as further described in the T&Cs.
Schedule 1C – Risk Consultancy
Risk Consultancy Services provide the Client with structured tools and professional support to identify and manage security risks. They are subject to the general obligations and the specific terms set out in Schedule 1C of the T&Cs, including (without limitation) provisions relating to intellectual property, limitations on the nature of the services, and the Client’s responsibility for its own decisions.
Security Risk Assessment: TKC will provide the Client with access to the Risk Management Tool (RMT), a structured application enabling the Client to identify, analyse, and evaluate potential threats and risks to the Client’s people, assets, and operations. The RMT records existing security measures and supports ongoing risk management. The Client may use the RMT independently or, for an additional fee set out in a Quote, request that TKC complete the assessment on its behalf. The RMT and any outputs are provided as a resource only and do not constitute legal, regulatory, or other professional advice.
Security Risk Consulting: TKC will provide consulting time to support the Client’s use of the RMT and/or Security Risk Assessment, at an hourly rate set out in a Quote. The scope and content of the consulting services is determined by the Client’s instructions. Consulting outputs do not constitute regulated advice and TKC’s liability in respect of the same is subject to the limitations set out in the T&Cs.
Schedule 1D – Vacant Property Services
Vacant Property Services are provided in respect of properties that are unoccupied, whether temporarily or for an extended period. They are subject to the general obligations and the specific terms set out in Schedule 1D of the T&Cs, including (without limitation) provisions relating to insurance, access, and the Client’s ongoing obligations in respect of the Property.
Vacant Property Check: An Officer will attend a vacant Property and conduct an Internal Patrol, together with any additional tasks specified by the Client in the Assignment Instructions (such as meter readings or health and safety assessments). The Officer will secure the Property thoroughly on departure, including arming any alarm system, in accordance with the Assignment Instructions. The Client remains solely responsible for maintaining appropriate buildings and contents insurance in respect of the Property.
