Executive Assistant

We are seeking a motivated, organised Executive Assistant to support our senior stakeholders, and to take ownership of the management of our new office space in Farringdon, to help us safeguard our industry reputation for excellence as we evolve our business.

We deliver over 500,000 services a year to over 7500 clients, through 200 local security companies. As EA you will primarily be acting as key support for our most senior team members, our CEO, CSO and CFO, but will need to be confident and approachable in liaising with team members across our diverse team of c.140 staff.

This role will suit somebody who thrives from being at the centre of activity and has the skills to keep up in a fast-paced environment.

Your mission

We will be seeking a candidate who enjoys imaginative and creative challenges, such as helping to identify exciting external speakers for events, and who is confident in taking the initiative in these tasks. A degree of autonomy will be expected in this role. As you will hold responsibility for the management of our London offices, this is a predominantly office-based role.

You’ll be (but not limited to):
  • Ensuring the company delivers on its strategic timelines, including independently scheduling workshops and update sessions
  • Providing front-line assistance to senior executives including calendar and email management, as well as occasional personal logistical assistance
  • Scheduling and calendar coordination assistance across the company
  • Company event organisation, both internal and external, in a capacity both logistical and creative
  • Monitoring multiple mailboxes to ensure incoming comms are addressed
  • Project management responsibilities, including maintaining action lists for multiple individuals using management tools such as Monday.com, and ensuring timely delivery
  • Establishing and maintaining protocols relating to the office, including mandatory compliance record-keeping and assistance with auditing
  • Acting as the primary point of contact for all office-related queries, issues and changes, both from internal parties and third-party contractors
  • An excellent candidate in this role will be:
  • Organised: an aptitude for meticulous record-keeping and attention to detail is essential
  • Independent: much of the office-related responsibilities of this role will involve the establishment of necessary protocols, which you will be expected to design and implement to a high standard
  • Proficient and confident in adapting to new communication and management tools, such as Slack and Monday.com, as well as traditional programmes
  • An excellent communicator: this role will include communicating with clients and senior stakeholders on behalf of our CEO, CFO and CSO, and as such, professional writing skills are essential
  • Flexible: in addition to agreed fixed days on-site, as our first point of contact for contractors you may need to adjust your working schedule to receive deliveries or meet with third parties. As such, a candidate in easy travelling distance of our offices is desirable
  • Experience in our sector is not essential, but we will be interested to hear from applicants who have held similar roles before, particularly in regards to liaising with senior personnel
  • This role will be ideally suited to a candidate who enjoys the pace of a start-up environment but is seeking the security of an established company
